Administrative Assistant - Emirati National

Completes a variety of advanced administration tasks within the Dubai Roads and Structures Department. At this level, the Administrative Assistant works under general supervision in completing a broad scope of routine accounting tasks and other some non-routine assignments.

SPECIFIC RESPONSIBILITIES:

Follows up with Clients about invoice approvals and payment collection. Coordinates with concerned departments / individuals within the client organization to expedite payment process. Coordination includes making regular visits to the client offices, and maintaining direct communications with the relevant individuals.

Maintains accounts receivable Client file, and records and investigate and resolve Client queries.

Monitors account details for non-payments, delayed payments and other irregularities. Reports back the status to management and any obstacles that require management intervention to expedite payments.

Audits invoices for appropriate support documentation. Matches information and documentation with accounting records. Verifies accounts and sub-jobs charged for accuracy and legitimacy.

Researches and resolves payment discrepancies and reviews AR aging to ensure compliance.

Provides support to Project Administration & Project Controls on day-to-day activities.

Performs other responsibilities associated with this position as may be appropriate.

REQUIREMENTS:

2-year college course in Accounting, Economics, Business Management or equivalent discipline, and 0 - 2 years of work experience.

Or secondary school graduate with 5-6 years of experience in accounting, and administrative works.

Adept in using MS Windows, MS Word, MS Excel, spreadsheets, database and other related computer applications.

Good social and communication skills.

Good working knowledge of various accounting processes.
