Filipino Executive Sectretary/Admin assistant

Seeking filipino executive assistant to work for a leading Architectural Design and consultancy firm in Dubai.
Must have AT LEAST 2 years of experience in a company of similar work or in the same Engineering Construction or Consultancy field.
Highly professional in letter writing, correspondence, appointments, and clients handling.
Previous Experience in an Engineering Consultancy or a Contracting Company is a MUST
Key Requirements include but not limited to:
  • Good communication/writing skills in English is a must.
  • Basic accounting
  • Basic HR experience
  • Takes dictation and transcribes notes. Compose and type reports, memos and routine correspondence as directed by the engineers.
  • Responsible for taking minutes of meetings, typing, and distribution of same.
  • Responsible for maintaining trace file, follow up and arrange appointments, telephone calls for the Chief Engineer.
  • Responsible for maintaining an updated filing system in the engineering department.
  • Assists the Chief Engineer by various engineering reports as and when required.
  • Report format checking to ensure that engineering reports meet the correct corporate standards of layout, tabulation etc
  • Managing Timesheet and Calendar systems
  • Compiling and typing statistical reports and presentations
  • Telephone screening/answering and dealing with/responding to queries
  • Meeting and greeting clients and visitors
  • Composing and typing routine correspondence
  • General administrative tasks such as filing (electronic and paper), faxes, photocopying
  • Maintain and running of various databases
  • Sending out correspondence to Contractors and Clients
  • Assist in presentations and other reports and documents as needed
  • Setting up business meetings for assigned senior members of the department
  • Handling incoming post and courier deliveries
  • Various office management responsibilities that include liaising with support functions; HR, Finance, IT, meet & greet/Reception duties
  • Up to five years of related experience
  • Strong interpersonal skills and ability to work in a team environment.
  • Ability to multi-task and work to tight deadlines.
  • Proficient in MS office suite
