About the Job:
The Groups and Events Sales Manager leads the Sales and Food & Beverage service of events and the corresponding team members. Ensures consistency and the highest level of service by training and developing team members and executing the requirements of events based on catering service standards. As a manager, uses leadership skills to coach and develop staff.

ESSENTIAL FUNCTIONS:
  • Plans for and carries out work in accordance with the Groups & Events manual (SOPs, Policies & procedures)
  • Completion of monthly and yearly reports.
  • Prepare accurate forecasts and pace reports.
  • Develops a Demand Calendar for Groups & Events with different demand levels and communicate need periods, pricing levels, and effective follow up at the daily departmental meetings.
  • Manages pricing for Groups & Events in line with the demand and comp set.
  • Review GOTS Report and Event Snapshot Report on a daily/weekly basis and action follow up accordingly.
  • Attend the weekly Banquet & Groups meeting and update DOS / ADOS with key figures for the next 3 months.
  • Achieve budgeted goals by executing activities assigned by DOS / ADOS.
  • Assist on the development of annual goals.
  • Updating and maintaining the departmental manual and policies and procedures in line with the hotel guidelines and concepts.
  • Take inquiries for Groups & Events and convert them into sales and prepare offers/ contracts in line with the standards and manual.
  • Maintain effective correspondence Pre and post for all related groups & events.
  • Contacting clients before they arrive at the hotel to conduct final detailed checks.
  • To be a host on the day of the event, reviewing satisfaction levels and willingness.
  • To return and conducts follow up calls to ensure bills are received & correct and to secure the next booking.
  • Set and achieve groups and event goals by implementing the set strategies agreed together with DOS / ADOS / DORM.
  • Display consultative and value added approach to selling monitor productivity and revenues goals by maintaining sales action plans.
  • Develop plans, special sales activities and promotions in a clearly targeted way.
  • Actively seek to interact with existing, potential and new clients by show-around, entertainments and FAM trips.
  • Attend regional and/ or global sales blitz and any other sales activities as stipulated by DOS / ADOS
  • If time permits conducts outside sales calls in coordination with the proactive sales Team (Corporate or leisure) to drive Groups & Events segment.
  • Utilizing and recording guest feedback for developing services and procedures to enhance guest satisfaction.
  • Set up and maintain filing, trace and communication systems and follow- up procedures completely utilizing Opera system. Ensure Opera blocks / activities are updated at all times with complete and accurate information.
  • Communicating and planning with the F & B operations team to ensure high quality standards are maintained.
  • Inform guests of applicable laws and regulations, hotel policies and limitations within those guidelines.
  • Ensures readiness and compliance in case of last minute changes to all relevant departments.
  • Coordinates credit for clients with the credit manager.
  • Follows up on commissions and other fees paid to clients to ensure timely billing and payment.
  • Provide Executive Chef and F&B; Manager with accurate forecasts by following Up with clients on the number of delegates’ prior arrival, issuing the needed.
  • Complete Monthly conversion reports for Groups & Events.
  • Monitor present and future trends, practices and systems to ensure that Pricing is competitive in the market place.
  • Promote Cross selling (Team Hot / Mar hot) where additional business is discovered and refer business in a timely manner.
  • Actively promote SPG Pro membership to meeting planners / executive assistants. To ensure SPG Pro Points are posted in a timely manner after the completion of the event and necessary criteria for the posting fulfilled.
  • Understands the impact of department's operation on the overall hotel financial Goals and objectives and manages to achieve or exceed budgeted goals.
  • Bringing in new business and retaining present repeat customer base.
Managing Groups and Events Team

  • Manage the groups and events team members.
  • Utilize leadership skills and motivation to maximize employee productivity and satisfaction.
  • Challenge team members within the department to achieve optimum revenue and service standards.
  • Monitor the department’s overall service, interactions with other departments and team work daily and take actions to improve.
  • Observes service behaviors of associates and provides feedback to individuals; continuously strives to improve service performance.
  • Sets a positive example for guest relations.
  • Empower associates to provide excellent customer service.
  • Ensures associates understand expectations and parameters.
  • Develop a performance management system for the team with SMART objectives to achieve exceptional results.
  • Ensures that duty roasters are compiled and in line with the scope of business.
  • Identify training needs and makes sure team members receive relevant trainings, including on-the- job-training to provide consistent and reliable service.
  • Identify team members with potential for promotion and/ or transfer and takes necessary actions.
  • Works closely with the DOS / ADOS on the following related tasks:
  • Performance appraisals
  • Coaching
  • Counseling
  • Discipline and grievance
  • Employee relations
Miscellaneous:
  • Assists team members to perform daily duties.
  • Accept flexible work schedule necessary for uninterrupted service to hotel guests.
  • Maintain own working area, materials and company property clean, tidy and in good shape, reports defective materials and equipment to appropriate sub- departments/ individuals.
  • Continuously seeks to endeavor and improve the departments efficient operation and knowledge of own job function.
  • BEs well updated on and processes solid knowledge on the following:
  • Hotel fire, bomb and emergency procedures.
  • Hotel health and safety policies and procedures.
  • Hotel facilities and nearby sights of interest and importance ( hospitals, stations, tourists Attractions).
  • Hotel standards of operation and departmental procedures.
  • Current licensing relating to own department.
  • Accepted methods of payment by the hotel.
  • Short and long-term hotel, as well and corporate marketing and promotional programs.
  • Corporate clients and clients generating high business volume.
Requirements

About you:
You must be fluent in the English language, both written and verbally.
Experience in Banquet and events Sales, hospitality industry.
Experience in handling inquiries and generating leads.
Previous experience in banqueting and Groups team.
Knowledge of Opera, Outlook Microsoft office and Starwood/ Marriott systems.
Good team player with a positive and outgoing attitude.
You should be able to work under pressure and should have good managerial skills.
You will need to be versatile, flexible and diligent in your approach.
