Job Description

Mediclinic City Hospital is hiring medical administration coordinator. The medical administration coordinator will be responsible for supporting the functions and administrative requirements of the medical director’s office.

Requirements

Bachelors Degree in a Marketing/Public Relations/Business Administration/Human Resources or similar qualification
Relevant experience working with clinicians is necessary.
Knowledge of medical terminology will be an advantage.
At least 3 years relevant experience in a similar capacity
Computer literacy at intermediate level and a good understanding of MS Office applications 
Excellent customer service skills are essential
Excellent communication skills 
Relevant experience working in an environment using computerized systems; experience with Hospital Information Systems will be well regarded
Fluency in English is required; Arabic language skills will be well regarded
Previous experience in the Health Care Industry or in a customer service environment
Experience in both reception and customer handling, preferably in a hospital setting


Key Outputs

Provides continuous support to the Medical Director through managing their calendars and ensuring meetings promptly occur. 
Responsible for any logistical work for the executive office including stationery management and distribution.
First line responder for personal queries and telephone calls for the executive office. Ensures customer satisfaction for both internal and external individuals.
Manages the boardroom facilities and schedule
Creates reports in support of the operations of the medical directors office
Responsible for the IPR documentation of the doctors including KPI and 360 degree feedback. This includes monitoring and scheduling for both in house doctors and independent doctors. 
In charge of managing doctor’s leave, overtime and other payroll related inquiries. 
Serves as the liaison for doctors and medical director to ensure smooth operations. 
Responsible for the entire employee cycle of independent doctors. This includes: onboarding, database maintenance, performance management process, preparation of log books for surgical procedures and renewal of contracts. 
Responsible for monitoring DHCC license renewals and MMIs.
First point of contact for in house and independent doctors queries, HIS entries and logistical support.
Responsible for creation, recording, and filing of any documentation requirements of the medical director’s office. 
Responsible for covering the tasks of the Executive Secretary when she is on leave. 
Responsible for end to end process pertaining to independent doctors from the time of recruitment until exit.
