Play Your Part
In this role you will be responsible for day to day management of a mixture of in house staff and outsourced Facilities Management service providers with the candidate being confident to work independently and taking responsibly for their areas assigned. Provide support to the facilities operation during the initial set up phase and ongoing operation thereafter. Provide guidance to service provider to make sure the Facilities operation is operating best in class. And to provide a professional administrative support and secretarial service to the Director and Head of Facilities Management and to ensure the smooth running of the office
Main Duties:
To keep up-to-date with the activities of the Head of Department and relationships between individual teams and other departments, particularly the Facilities managers to ensure the department is running smoothly
To support the Department Heads with the co-ordination and arrangements, including preparation of agenda and papers, of internal and external meetings, specifically individual team and other department meetings
To take Minutes at internal and external meetings, ensuring signed copies are maintained in appropriate systems and follow up action takes place within agreed timescales
To produce correspondence, reports and confidential documents in consultation with the department Heads
To deal with incoming and outgoing post, including assisting with the despatch of information/support and documents
To maintain and develop procedures and systems to ensure the maintenance of manual and electronic filing systems
To maintain up-to-date records of staff records and leave administration
To be the Departments focal point, in liaison with the other departments in DPR
Any other duties as may be reasonably requested by the Management Team
Are You a Star?
In order to be qualified for this role you should possess the below criteria:
Essential:
Degree in Administration/business management or a Good standard of education with a minimum of qualification
Likely to have 2-5 years in a similar role with a Facilities management Dept
Working in an administrative/secretarial role
Working with senior managers
Development and maintenance of effective administrative systems
Experience of complaints handling and follow up procedures
Good written/communication skills
Accurate and timely Minute taking
Ability to prioritise workload/work to deadlines
Proficient use of industry standard IT systems (eg, Microsoft Office)
Desirable:
Experience in large operations team and should have held a similar post
Using finance software and other admin systems
Experience in using CAFM System
Enthusiasm and commitment to learn about and get involved in the department?s activities
Worked in a multi-cultural organization
The ability to deal tactfully, calmly and effectively with a wide range of people from within and outside the organisation
