Operations Coordinator
Admin/HR /IT
Prepare weekly meetings agenda, visit agenda drafts, take minutes of meetings, coordinate with various departments to gather information & prepare consolidated report/presentation whenever required.
Maintain and file all legal issues documentation/ communications. File internal memos related to operations & follow up the execution of management new decisions/ polices.
Draft official letters and provide translation (Arabic/English) for any legal document needed by management.
Manage TW projects for KSA boutiques and track the tasks execution.
Merchandising
Liaise with merchandising department for any assigned goods-carrying missions; supervise flight/ hotel booking arrangements.
Liaise with KSA merchandising manager and KSA boutiques managers on VVIPs special orders – follow up the execution to assure smooth delivery of these orders.
Marketing and Retail
Coordinate with marketing department on various marketing activities; follow up with boutiques to insure the receipt of any marketing materials and report to Country Operations Manager all boutiques needs weekly basis.
Assist the operations manager in conducting boutiques visits and customer enchantment audits; to create tasks on TW for the CE audits findings and list all points of improvement.
Contact local suppliers for any print/ production job required in KSA ( window stickers).
Coordinate with SMS service providers on the execution of planned SMS campaigns in KSA.
Assist KSA Country Manager on work preparations related to marketing collaborations/ activities taking place inside KSA.
Handle all logistical tasks related to Mouawad special events ( Tower-stands, transportation, catering, staff travels, packing materials, security, etc.).
Keep track of VVIPs customers’ lists, review the SalesForce to assure that all VVIPs customers’ data are updated.
Review SalesForce data-entry, dashboards and comments made by boutiques’ teams and assure it is updated.
Monitor special activities related to VVIPs ( Ramadan Gifts delivery, etc.).
Maintenance
Maintain and update TW on weekly basis for all maintenance/ snags tasks related to KSA boutiques and Head office building.
Contact local contractors/vendors and get quotations related to required jobs.
Liaise with merchandising department for any shipments related to boutiques fittings/ stands.
Liaise with Finance department for local contractors/ vendors payments processing.
