Operations & Logistics Manager

Core responsibilities include:

1 Supervise the demand planning & procurement department:
  • Ensure a smooth periodic demand planning process for all divisions within the approved and agreed to stock days with each and every principal maintaining safety adequate stocks and ensuring no out of stock

  • Ensure timely delivery of our suppliers orders and liaison with the relevant division and regulatory department to ensure smooth clearance

  • Develop & improve procurement methods and procedures to increase efficiency & and decrease logistical costs

  • Ensure professional and smooth communications within internal departments, principals(agencies) & vendors

  • Prepare and share periodical forecasting accuracy reports

  • Constantly strive to enhance efficiencies, develop the team, ensuring maximization of AEC profit and customer satisfaction.

    2 Supervise & Manage the Logistics/customs & clearance department:

  • Ensure best inbound/ outbound freight rates with best services are achieved through directly participating in the negotiation process with relevant vendors

  • Ensure smooth and efficient preparation of all documents required for custom & MOH clearance of shipments and goods

  • Maintain clear communication with suppliers to avoid delay in supply.

  • Ensure received shipments are accurately & promptly entered in the system and ready to be invoiced.

  • Ensure and approve the goods receiving in the system for costing

  • Ensure proper & periodic communication of shipment delivery dates to concerned division heads to enhance forecasting accuracy and sales planning

  • Ensure maintaining proper filling system of all official and important documentations relevant to shipments, clearances and government approvals

    3 Contracts renewal:

  • Oversee the general maintenance of operation facilities.

  • Ensure proper record keeping of all maintenance contracts and ensure necessary renewals.

  • Ensure proper record keeping & follow-up of MOE registration for all AEC Principal Companies

  • Ensure maintaining a list of necessary government licenses and follow up on their renewal

    4 Warehousing & storage management:

  • Ensure and supervise highest security & safety standards are adhered to at all times and according to rules and regulations of the UAE

  • Ensure all stocks are properly stored according to each and every sku specs and requirements to minimize damages

  • Ensure FIFO system is fully adhered to and maintained to minimize expiries

  • Ensure Warehouse shelf space is fully utilized in an efficient and effective manner

  • Ensure all MOH & Municipality regulations, civil defense & fire department regulations and standard operational procedures are fully adhered to at all times

  • Ensure proper management & reporting of damaged stocks, expiries and short expiry products

    5 Invoicing & distribution management

  • Ensure all received orders are invoiced according to internal laws and procedures of the company

  • Ensure and regularly challenge applying best practices to enhance stock picking and preparation of orders in order to enhance accuracy of order preparation, time efficiency and cost reduction

  • Ensure and regularly challenge distribution efficiencies, maximization of daily drops per vehicles, space utilization and proper temperature control of the delivery trucks, security of shipments, proper documentation of received invoices/credit notes/returns/expiries and customer service

    6 Logistics & operational team development:

  • Ensure staff safety & security is to the highest standards and adhered to at all times

  • Ensure all operational & logistical staff are well trained, equipped and properly tasked

  • Ensure proper appraisals are conducted and training needs are identified and executed on timely manners Maintain and adjust shifts and working hours of the various team to best suit the company needs and goals aiming to achieve highest customer & principal satisfaction levels

    7 Financial Reporting and management:

  • Prepare and present operation and logistics annual budget and quarterly reviews to management on timely manner

  • Ensure operational expenses are well budgeted for and adhered to at all times

    Strive to reduce operational expenses by continuously challenging expenditures and non-budgeted expenses.
