Personal Assistant

The Personal Assistant is responsible for providing support to the manager. He/She handles the scheduling of their appointments, as well as organizes and maintains information in an efficient filing system.

Key Accountabilities Organize and manage the day-to-day running of the manager's professional and personal affairs in order to ensure the provision of high-quality support
Manage the schedules to ensure effective time management, coordinate activities, prioritize appointments and reschedule where necessary
Follow up on business trips and expenses of department members
Manage, prioritize, screen and monitor the manager’s correspondence, including calls, emails, post and fax, in order to ensure they are dealt with in a timely manner
Collect and research information on assigned matters, as well as produce reports as requested
Ensure that documentation is correctly filed by maintaining an efficient filing system
Attend senior level meetings and record minutes of meeting for future reference

Qualifications, Experience, Knowledge Bachelor’s Degree or equivalent technical degree (TS)
1-2 years of experience in a related field is a plus
Fluency in English; Fluency in French is a plus
Proficiency in MS Office
