Procurement Assistant - Success Profile
Reporting to: Procurement Manager

Key purpose
The purpose of this position is to provide effective procurement, database P2P Account reporting, and administrative support within the SME Procurement Department.
Structure and reporting relationship
This position reports directly to the Procurement Manager and has no direct reports.
Based on the specific requirement of the role
Key accountabilities
Maintain and update list of approved/preferred suppliers;
Create and manage vendors in SAP
Ensure accuracy of data input and on-going maintenance of data within the contract database for the Procurement and commercial team.
Assist the Procurement Business Partner by providing administrative support to manage suppliers;
Communicate in writing and verbally with clients and suppliers and ensure all internal or external requests are dealt with promptly and accurately;
Audit part quotes for both current and potential suppliers;
Administrate RFQ process including compilation of packages, receipt, tracking of documents, analysis of responses and set-up of supplier files.
Run various Process2Pay accounting reports for circulation and follow up actions
Co-ordinating Process2Pay audits. Follow up & clearing audit observations
Perform and carry out other duties as instructed / directed by the Procurement Business Partner.
Essential technical and professional skills, knowledge and qualifications
Knowledge
Ideally a degree holder or high diploma of post secondary education in business or public administration, engineering, science or a related discipline.
Skills
Knowledge with ERP (enterprise resource planning) and PC literacy skills are essential;
Excellent analytical skill is required;
Ability to demonstrate both good literacy and numeracy skills required for the role;
Possess good communication skills and the ability to manage multiple tasks efficiently and work productively in a fast-paced, team-oriented environment;
Strong organisational skills, detail oriented, and the ability to handle multiple priorities.
SAP knowledge
Experience
Minimum of 2 years’ experience in an administrative role, preferably within either a finance or procurement department;
Work experience in high volume procurement department would be an advantage.
