Receptionist / Document Controller

Job Description:
Reports to: HR Generalist / QA/AC Coordinator
Job Scope/Function: Perform the role of receptionist and
administrative/office assistant. Reflect TESCO image

Administrative Responsibilities:
  • Greet, direct and communicate with visitors.
  • Receive, direct and communicate telephone and fax
messages.
  • Receive, distribute and send mail.
  • Support the planning of meetings and conferences.
  • Manage hotel, flight bookings and transportation
coordination.
  • Handle houses and cars rentals, their renewals, data
keeping and all related matters as per TESCO procedures.
  • Handle business cards printing.
  • Assure Employees and Visitors attendance record is
filled, maintained, documented and reported correctly.
  • Maintain and order office supplies inventory.
  • Monitor the use of office consumables and equipment.
  • Coordinate with the Facility Supervisor or responsible
person the repair and maintenance of office equipment.
  • Support administrative issues as required.
  • Draft letters and memos. Prepare reports and
presentations.

  • Keep an up-dated log book of and liaise with the
concerned for licenses and agreements renewals.
  • Search for new vendors when required and follow the
vendor registration process.
  • Issue and keep track of LPOS as per TESCO process.
  • Supervise the office driver(s), office helper(s) and
cleaner(s) and assure they are performing the job as
required.
  • Comply with all TESCO legal, HR, Quality, HSE, and all
other policies, procedures and departmental Work
instructions.
  • Perform other duties as assigned by the Manager.
Document Control Responsibilities
  • Maintain hardcopy & electronic records for the Quality
Control functions; including data entry, filing,
scanning, retrieval & photocopying.
  • Data Entry of information into Quality Control
Databases
  • General Administration support as required by the
Quality Department
  • Preparation of QC Manuals for manufactured equipment
and distributing to internal or external clients
  • Filing of Quality Control documentation from other
TESCO Business Units
  • Management of Quality Control records
  • Using internally developed programs [WindChill] to
access & print Engineered Drawings
  • Document scanning
  • General Filing & administration tasks as required by
the facility

Education & Work Experience:
Minimum Bachelor degree with 2 years of experience in
related field or high school degree with 6 years of
experience in related field.

Other Qualifications:
  • Organized, quality oriented, flexible, team player,
multi-task oriented, self-motivated, positive, and
independent.
  • Good communication, time management, analytical, and
problem solving skills.
  • Excellent written and verbal Arabic and English
command.
  • Good Microsoft office and office equipment command.
  • Fast in English typing, Arabic is a plus.
Physical Conditions:
Sitting, standing, fingering/typing, and talking.
