Social and Non residential Events Planner

Main Job Responsibilities:
Source new clients and business opportunities for Social events and Non Residential Business.
Builds and strengthens relationships with existing and new customers to enable future bookings. Activities include sales calls, site inspections and entertainment.
Identifies and proactively prospects new business opportunities and account to achieve revenue goals
Manages and develops relationships with key internal and external stakeholders
Interfaces with operations on a timely basis
Implement direction from DOSM and ADOS
To provide a courteous, professional, efficient and flexible service at all times, by email, phone or in person.
To be fully conversant with all services and facilities offered by the hotel
To ensure that all activities and documentation follow the established hotel policies and procedures
To Maintain complete and supported records of all sales/ events activities and related documentation such as Sales calls data, contacts, contracts, quotes, BEO’s or other reports as such.
To keep and safeguard all contacts and financial documents, such information to not be shared outside the hotel premises.
To utilize Opera for all accounts functions and activities, as per SOP’s, and ensure all related data is entered timely.
To be entirely flexible and adapt to rotate within different areas when managing events, to understand operations activities and communicate timely to the respective departments for guests service delivery up to the hotel standard operating procedures.
To ensure that the MM Office and surrounding area is kept clean and organized at all times
To respond to any changes in the department as dictated by the needs of the hotel or by MMADOS/DOSM
All Ambassadors are required to comply with every reasonable request from their hierarchical supervisor(s) within an amount of time that it takes to comply under normal circumstances
All Ambassadors may be assigned to other duties in the hotel as and when required by business levels.

Main Common Duties:
Sales:
Manage clients and inquiries (sales calls/phone/email/walk in/ online systems), submit offers within 24 hours, clients/inquiries follow ups, negotiate, drive to confirm the business, contract and follow up on payments.

Planning: follow up on necessary legal documents (passport copy/ DED permits etc) for event delivery. Coordinate with the related departments for event delivery (BEO’s, Change logs and Group Resumes preparation and delivery).
Leading and managing site inspection.
Follow up on outstanding payments post event including final invoicing management.
Ask feedback and follow up on new business opportunities.
Maintain a good relationship with clients and build up for returning business
Follow Through on Magnifique Meetings SOP’s
Understand and follow Hotel Business Strategies communicated by HOD.
