Executive Assistant

Job Description

We are currently recruiting for an Executive Assistant, for our client based in JLT.
Overview:
The Executive Assistant is responsible to ensure smooth running of the office, including full administrative support, managing relationships with external companies and taking ownership for all travel requests to support the CEO & Senior Leadership Team to a high capacity. The Receptionist / Administrator reports into this role.
Main Responsibilities:
? Administrative Support
- Responsible for organising flights, hotel and car transfers with the Company’s external travel supplier, comparing costs with online carriers to achieve cost effective strategy
- Coordinate visa applications in conjunction with the Company PRO
- Managing, editing, formatting and preparing documentation to include Word, PowerPoint & Excel documents
- Managing diaries, planning and organising meetings to include booking meeting rooms and conference facilities to effectively and concisely work across different time zones
- Manage financial reports for company credit card
- Manage the Administration shared server and paper filing systems
- Manage preferred suppliers on behalf of the Company and update shared system
- Office Management to coordinate maintenance, IT and office supplies
- Provide secretarial and administrative support including ad hoc requests
- Support on personal admin matters as and when required
- Manage Employees Annual Leave Plans and update holiday tracker on shared drive
- Ensuring compliance with DMCC & UAE regulations and being main contact on behalf of the Company
- The role includes additional cover for the Receptionist / Administrator as and when required
? Secondary Support Duties
- Providing reception and administration duties when the receptionist is unavailable and during break times
- Assist with the maintenance of the boardroom and meeting rooms for external meetings

Skills

Attributes and Skills:
- 4-5 Years EA / PA / Office experience supporting at senior leadership level
- UAE experience desired but not essential
- Higher education, ideally university graduate
- Strong communication skills
- Acts discreetly and with diplomacy to maintain confidentiality
- Polished and professional
- Meticulous attention to detail
- Excellent organisation and administrative skills
- Works well under pressure and meets tight deadlines
- Proactive and able to prioritise tasks
- Adaptable and flexible - available out of office hours when required
- Excellent computer skills, proficient in Microsoft Office
