Receptionist/HR Coordinator
Operation of multi-line phone system, interpret the nature of incoming calls and relay callers to qualified personnel within the Company. Greet visitors, clients and others guest having business TRANSACTIONS with the Company and refer to proper destination. Maintain record of visitors.Support Human Resource recruiting needs through the scheduling of candidate travel and on-site visits.Support company learning management system, by managing employee transcripts.Responsible for uploading Job-Training-Needs (JTN) forms in the learning management system to comply with ISO-9001-2000 training requirements.Sort incoming mail for the facility and preparation of outgoing mail. Process overnight packages for delivery, as necessary. Process postage INVOICES and re-order postage for machine. Run postage report and refill meter as needed.Responsible for the ADMINISTRATION of company employee recognition program, Random Acts of Greatness Reel Fast Award, distributing awards and recording and maintaining proper records.Report needed repairs of communications equipment, maintain inventory of office keys, enter and distribute employee and visitor security badges as needed. Contact vendors when problems arise with vending and office machines as requiredResponsible for maintaining and distribution of Company phone list and email distribution lists.Assist in the coordination of company events and special projects as assigned.Authorize use and maintain company travel ghost card expenses.Secure company vehicles for authorized employees. Maintain company fleet inventory. Verify drivers for approval. Verify and process car lease INVOICES. Research and resolve discrepancies.Process vacation requests from managers and maintain salaried employee vacation records in T&A system.Process all HR INVOICES through Ariba software.Other duties as assigned in support of Human Resources staff and management.
