Space Planner / Work Place Manager - Corporate Real Estate
The purpose of this position is to provide service support related to all space planning, churn and small works requests across the UAE portfolio of a leading International Bank.

The Role
Space Planner / Work Place Manager - Corporate Real Estate
The purpose of this position is to provide service support related to all space planning, churn and small works requests across the UAE portfolio of a leading International Bank.

Responsibilities Include
- Identifies and maintains knowledge of current and future space needs and understanding of the business direction and changing workplace needs.
- Tracks and manages work order requests for space requirements based on verified existing space information, and forecasted space supply/demand.
- Understands client’s ‘flexible working’ policy and global workplace space standards and apply the principles to all space related recommendations / projects.
- Supports wider workplace team with performance and efficiency initiatives.
- Provides metrics, collects, organises and analyses data related to client’s facility requirements and physical space needs.
- Attends meetings with client representatives and facilitates discussion/programming of space requirements (headcount/growth, allocations, adjacencies, special support needs).
- Documents findings, conclusions and communicates recommendations based on data analysis and supply/demand assessment.
- Prepares test fit plans, reviews CAD drawings, updates, and/or changes.
- Tracking, monitoring and overseeing all Moves, Adds and Changes (MAC) for corporate campus including oversight of inventory of furniture and workstations.
- Coordinates planning for all MAC request and delivers change projects.
- Understands change management principles and ensures staff are placed at the centre of all reconfiguration projects.
- Responsible for all project documentation (project request forms, business cases, customer satisfaction surveys and close-out reports)
- Responsible for co-ordinating pre and post occupancy questionnaires.
- Responsible for maintain data accuracy of the client’s space allocation tool (WebCoRE) following delivery of every project in line with KPIs.
- Assist in the resolution of WebCoRE.
- May provide informal assistance such as technical guidance and/or training to co-workers.
- Ensuring change / project requests are dealt with in line with SLAs.
- Providing MAC and project metrics in line with monthly reporting requirements.
- Manage and develop direct reports, ensuring excellent service is delivered.
- Project manage refurbishment and small works, including sourcing the contractors, managing budget and ensuring high standards are delivered.
- Manage external contractors, monitor and analysis performance.
- Responsible for RAMS and permits to work.
- Be involved with weekly events meeting, agreeing FM involvement.
- Be the first point of call for all MAC / small works questions and queries.
- Carry out weekly inspections of ongoing works and sign-off works at end of project.
- Ensure project snagging is closed out in line with programme deadlines and quality expectations.
- Coordinate space plans and keep floor plans updated.
Requirements:
Experience, Knowledge & Skills
- Space Planning.
- Stakeholder Management.
- Change Management and Move Management.
- Knowledge of corporate real-estate space standards for example IPD.
- Background in Interior Design or Architecture.
- Sound knowledge on UK and US building code in particular NFPA.
- Good HSE knowledge and understanding.
- Good knowledge of office furniture solutions.
- Proficient in AUTO CAD.
- MS office skills in particular Excel and Power Point.
- Archibus is a plus but not essential.
Qualifications
- Higher National Diploma or A level standard.
- Professional Memberships are an advantage but not essential.
- HS&E qualification (IOSH, NEBOSH).
